The Administrative & Finance Officer (AdFin Officer) is responsible for establishing and maintaining efficient administrative and financial systems to support the smooth running of the operations, and to ensure compliance with administrative, human resources and financial rules and procedures.

Key Responsibilities:
Administrative Support
- Provision of administrative support to ensure the smooth running of projects
- Maintenance of proper filing system ensuring safekeeping of all project materials
- Maintenance of leave and travel records
- Follow-up on deadlines, commitments made, actions taken and coordination and submission of reports to relevant parties
- Preparation of routine correspondence, reports and other documents in accordance with established procedures
- Organization of and support for workshops, events at regional, national or state level
- Oversight of recruitment and appointments of volunteers, consultants, staff, and administer staff entitlements and claims
Financial control
- Maintenance of project budget and disbursement ledger in collaboration with project officer in charge
- Maintenance of files and records relevant to project finance and procurement
- Maintenance of records on assets management
- Provision of support to audit, review and evaluation as required
- Preparation of financial documents for compliance purposes to statutory bodies
- Preparation of monthly/annual accounts, including bank reconciliations and submission of timely and accurate financial reports to relevant organizations
- Management of staff entitlements, benefits and claims
- Processing of payment to consultants, project partners, and staff efficiently and within stipulated time
Requirements:
Education:
University Degree in Accounting or Finance (or equivalent working experience)
Work Experience:
- A year or more of administrative and financial/accounting experience
- Usage of Google Docs, and other on-line collaborative tools
- Familiarity with statutory compliance rules and regulations is an advantage
- Experience of working in civil society organizations is an advantage
Languages:
Good knowledge (written and spoken) of English and Bahasa Malaysia.
Remuneration:
Up to RM1,625/month (equivalent to 1 working day per week), depending on skills and experience.

This position is open for Malaysians currently residing in Klang Valley only. This work is expected to be mostly remote, and requiring to drop by our office only when needed such as checking mail and dealing with building administration.
